Why Maintaining Proper Books of Accounts Matters

Jagruti Kadam · Junior Accountant · 24 March 2026

Ask most small business owners why they keep books and the answer is compliance. That is the smallest reason.

Books are the only honest record of what a business actually does. They tell you which customers pay late, which product line quietly loses money, how much of last month's revenue was really last quarter's work. Nobody can hold that reliably in memory past a certain size.

They also decide what other people are willing to do for you. A lender, an investor, a large customer running a vendor check — each of them forms a view of the business from its records. Clean, current books say the business is under control. Reconstructed books say the opposite, regardless of how well the business is doing.

And they lower the cost of everything else. A year closed properly month by month takes days to finalise. A year of loose papers takes weeks, costs more, and produces a weaker result.

The routine matters more than the software: record transactions as they happen, reconcile bank accounts monthly, and never let an unexplained entry sit for longer than a month.
